If you have ever been to a wedding out of state you know that planning for it can be difficult at times. If you aren’t sure where the venue is or what is near it, you may be struggling to figure out where to stay, if you need to rent a car and other logistical pieces. This is why it is so important to have a plan in place for guests who will be traveling to Indian Creek Country Club from out of town.
While you don’t need to individually plan each guest's trip, it is helpful and considerate to make an overall plan for all out of town guests during your wedding planning. This typically includes blocking out rooms at a certain hotel that is close to the venue and providing information about travel. Your guests should be fully aware of exactly where they can stay and if transportation to the venue will be provided. There are a few different ways that you can inform your guests of their options!
Announcing
An easy way to let people know all of the additional details is by including it in the save-the-date that you send out. Either on the back of the announcement or on a separate sheet you can list out the venue, like Indian Creek Country Club, the hotel you have chosen (be sure to include the address and phone number) as well as any transportation to and from the airport and venue that you will be providing. Another easy way is to have a wedding website.
Most couples are creating a wedding website for their registry, photos and information and this is a really convenient way to list travel information. You can create a separate tab just for guests who will be traveling to the wedding and can list website links to hotels, rental car services, shuttles and anywhere else they may need to contact. This is great because guests can view this anywhere on their phones and don’t need to worry about carrying around a paper with information. Be sure to list your wedding website on your save-the-date and invitation!
Hotels
While you don’t need to make reservations for each individual guest, it is helpful to give them one or two hotels that they can book that are near your venue. It is suggested to start calling hotels about six months in advance to find out about their capability of booking large parties and their special group rates. Oftentimes you can block out a select number of rooms (usually based on how many out of town guests you will be inviting) and they can book those rooms for a discounted price.
Be sure that when you are looking into hotels to keep your guests’ budget in mind. Try not to pick a hotel that is on the more expensive side, but instead one that would work for multiple families and incomes.
Transportation
Transportation may not be difficult for those guests that drove to the location of your wedding, but for those who flew or found other ways to travel, they may be wondering how they are going to get to the venue. This could also be helpful if your venue does not have a lot of space for parking. A great option to provide adequate transportation for your guests is by hiring a shuttle. The shuttle will begin running about an hour before the ceremony and will take guests to the venue. Then be sure to have the shuttle running afterward to take guests back to the hotel. This is also helpful to ensure safety if guests are drinking during the reception.
Other events
Another great way to include out of town guests and make them feel as if their trip was worth it is to invite them to events outside of just the ceremony and reception. This could include the rehearsal dinner and even the brunch the day after the wedding. If your guests are willing to travel out of town for your special day, it is nice to include them in any way that you can!
